If you’re using QuickBooks Online on a regular basis, there’s an important update coming that will affect how you run your reports.
Starting May 22, 2026, QuickBooks will officially transition all reporting to what they call Modern View, phasing out the Classic View many of us have gotten used to over the years.
Let me walk you through what this actually means in plain English; and more importantly, how it affects your day-to-day bookkeeping.
First Things First; Your Reports Are Safe
This is the biggest concern I hear from clients, so let’s clear it up right away.
You are not losing your reports.
Your saved reports, custom filters, and layouts will all carry over automatically. There’s no need to back anything up or rebuild reports from scratch.
From a ProAdvisor standpoint, that’s a big win; because rebuilding custom reporting setups can get expensive fast.
What’s Changing on May 22
Here’s how the transition will roll out:
Standard Reports
All built-in QuickBooks reports will automatically open in Modern View. After May 22, there will be no option to switch back.
Custom Reports
Your custom reports will transition in batches. You’ll notice the change when a report opens in the new layout.
Why This Change Actually Matters
I’ll be honest; earlier versions of these “modern” reports were not great. A lot of my clients avoided them.
But Intuit clearly listened this time. The updated version is more usable, and in some cases, actually saves time.
Here are the upgrades that stand out from my perspective working with real client books:
1. Faster Access to Who Owes You Money
Cash flow is everything.
You can now click directly into totals on Accounts Receivable and Accounts Payable reports and immediately drill down into details.
No more digging through multiple screens just to answer a simple question like; “Who hasn’t paid me yet?”
2. Real-Time Financial Data
Reports now update automatically as transactions change.
That means no more hitting refresh or wondering if you’re looking at outdated numbers. What you see is current.
For decision-making, this is a big improvement.
3. Your Settings Actually Stick
This one fixes a long-standing frustration.
If you’ve ever customized a report, clicked into a transaction, and then lost all your filters when you came back; that’s gone.
Your date ranges, filters, and layouts now stay intact.
Less rework; less wasted time.
4. Cleaner, Simpler Interface
The new layout removes a lot of the clutter.
Important actions are easier to access, and the screen is less overwhelming; especially helpful if you’re not living in QuickBooks all day like I am.
5. Built-In Visuals for Better Insights
You can now turn reports into simple charts or summaries with just a click.
For business owners, this is huge. It makes it easier to quickly understand performance without needing a full breakdown from your bookkeeper every time.
What You Should Be Doing Right Now
Between now and May 22, you still have the option to switch between Classic and Modern views.
I strongly recommend:
- Spend some time testing your most-used reports
- Make sure your workflows still make sense
- Get comfortable before the switch becomes permanent
Think of this as a transition window; not something to ignore until the last minute.
